Planning group travel is one of those jobs nobody signs up for. Whether you're coordinating hotel rooms for a wedding, a family reunion, a sports tournament, or a company offsite, it usually means a mess of spreadsheets, phone tag with hotels, and chasing down confirmations from guests who haven't booked yet. It's a part-time job disguised as a hobby.
Today, we're changing that. We’ve expanded Engine Groups into a complete group travel planning solution that anyone can use for free.
Built for any group, any occasion
Originally built for business travel, we saw organizers increasingly turn to Engine Groups for weddings, family reunions, and sports tournaments. Whatever the occasion, group travel logistics have long been a source of stress and generally involve juggling spreadsheets, phone calls, and dozens of individual bookings. And up until this point, there was no free tool out there that allowed you to plan, organize and book all in one place, customized to your specific needs.
Today's release fills that gap, adding self-serve booking, tailored hotel recommendations, and a dedicated event page for RSVPs and booking. There's no subscription fee, no credit card required to join, and no obligation to book, making it one of the only free group hotel booking options on the market.
Engine Groups gives organizers access to a network of over 1 million hotels, with real-time visibility into RSVPs and bookings, and one place for guests to find the details they need. For businesses, it gives the person running the offsites a way to manage the logistics without stepping away from their day job.
How Engine Groups Works
- Create the event. The organizer sets the location, dates, and room count estimate. Everything guests need to know lives in one centralized place.
- Get hotel recommendations. Engine reviews the event details and intelligently matches each event with the right booking approach and hotel options based on group size, event type, location, dates, and organizer needs. This launch lays the foundation for AI planning capabilities coming later this year.
- Invite guests to book. Depending on group needs, Engine will recommend that guests either choose and self-book a hotel room from a list of curated hotel options, or that the organizer reserve a room block at one hotel. When self-booking, guests get the event page link to RSVP and book their own room. For room blocks, Engine runs the RFP on the organizer's behalf, gathering proposals from hotels. Once secured, guests receive the event page with all trip details and are directed to the hotel's booking link to reserve rooms.
- Track updates in real time. Organizers see RSVP status and itineraries in one view. Guests check the same event page for updates.
Before today’s enhancements, Engine Groups was already gaining traction with business customers and large group organizers. In the first half of 2026, over 460K rooms have been booked through Engine Groups, and group room nights booked through Engine have grown 5x year-over-year. It’s clear there’s a demand for this tool and we’re doubling down with enhanced features and wider availability.
