Event planner promotion terms and conditions

Effective date:  February 25, 2026

1. Promotion Overview

1.1. The Event Planner promotion (the “Promotion”) is offered by HotelEngine, Inc., d/b/a Engine (“Engine,” “we,” “us,” or “our”) to qualifying customers who book eligible travel through the Engine Event Planner tool.

1.2. By participating in this Promotion, you agree to be bound by these Terms and Conditions, as well as Engine’s standard Terms of Service and Privacy Policy, which are incorporated herein by reference. Any conflict between these Terms and Conditions and the Terms of Service, these Terms and Conditions shall control.

2. Eligibility

2.1. The Promotion is open to any individual over the age of 18 as of the date of entry who completes a booking through Event between March 5, 2026, and April 5, 2026. Travel dates may occur after this deadline, but the booking must be confirmed by April 5, 2026.

2.2. Excluded Parties: Employees of Engine and their immediate family members are not eligible to participate in this Promotion.

3. Qualifying Bookings

3.1 Booking Requirements:

  • All bookings must be made through the Event Planner tool on the Engine platform.
  • The booking must either be a Room Block, or a single room reserved via self-book.
  • Any bookings cancelled during the Promotion window will be removed from eligibility.

4. Incentive

4.1. There will be five (5) randomly selected winners of the Promotion. Winners will receive $200 in Sendoso credits or Sendoso gift cards each, which may be used in the Sendoso Marketplace.

4.2. Winners will receive their credits within 72 hours of the Promotion end on March 25.

5. Limitations and Restrictions

5.1 Promotion Period: This Promotion is valid for bookings made and confirmed between February 25, 2026 and March 25, 2026.

5.2 Incentive Limitations

  • Maximum of one reward per booking, regardless of GBV.
  • Use of Sendoso credits and gift cards is subject to Sendoso’s Terms and Conditions.

6. Compliance and Conduct

6.1. Participants must comply with all applicable laws, regulations, and Engine policies.

6.2. Engine reserves the right to disqualify any participant who:

  • Violates these Terms and Conditions.
  • Engages in fraudulent or deceptive practices.
  • Attempts to manipulate the Promotion.

7. Intellectual Property

7.1. All materials, logos, and branding associated with the Promotion remain the property of Engine.

7.2. Participants grant Engine permission to use their name and event details for promotional purposes related to this campaign.

8. Liability and Disclaimers

8.1 Limitation of Liability: Engine's total liability under this Promotion shall not exceed the value of the incentive received by the participant.

8.2 Disclaimer: Engine makes no warranties, express or implied, regarding the rewards or their fitness for a particular purpose.

8.3 Indemnification: Participants agree to indemnify and hold Engine harmless from any claims arising from their participation in the Promotion.

9. Data Protection

9.1. All personal and organizational data collected in connection with this Promotion will be processed in accordance with Engine's Privacy Policy.

9.2. By participating, you consent to Engine's collection and use of your information for Promotion administration and marketing purposes.

10. Modifications

10.1. Engine reserves the right to modify these Terms and Conditions at any time. Modifications will be effective upon posting to the Engine website.

10.2. Continued participation in the Promotion after modifications constitutes acceptance of the updated terms.

11. Disputes

THIS PROMOTION IS GOVERNED BY THE LAWS OF THE UNITED STATES OF AMERICA AND COLORADO, WITHOUT RESPECT TO CONFLICT OF LAW DOCTRINES. As a condition of participating in this Promotion, participant agrees that any and all disputes which cannot be resolved between the parties, and causes of action arising out of or connected with this Promotion, shall be resolved individually, without resort to any form of class action, exclusively before a court located in Denver, Colorado having jurisdiction. Further, in any such dispute, under no circumstances will participant be permitted to obtain awards for, and hereby waives all rights to claim punitive, incidental, or consequential damages, including reasonable attorneys' fees, other than participant's actual out-of-pocket expenses (i.e. costs associated with entering this Promotion), and participant further waives all rights to have damages multiplied or increased.

13. Severability

13.1. If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

14.1. These Terms and Conditions, together with Engine's standard Terms of Service, constitute the entire agreement between the parties regarding the Boosted by Engine Promotion.
