How the total is calculated
Each night at its month's cap
GSA changes the lodging cap by month in 149 destinations. Every night is priced at the cap for that night, and the checkout day has no lodging.
75% on the first and last day
Meals and incidentals pay the full daily amount on full days and 75% on the day you leave and the day you come back.
Provided meals come off
If a host or conference pays for a meal, its GSA amount comes off that day, down to the $5 incidentals floor. Full rate tables are in per diem rates by state.

What if my trip spans two months?
Each night uses the lodging cap for its own month. The day-by-day table shows every night at its own cap, and the lodging line adds them up. M&IE does not change by month.
How are the first and last day counted?
M&IE pays 75% of the full daily amount on the day you leave and the day you return, no matter what time you travel. Lodging is never prorated: you get the cap for each night you stay, and the checkout day has no lodging.
A conference is covering lunch. What changes?
Pick the meal under "Meals someone else paid for." The calculator takes the GSA lunch amount for that tier off every day, but never takes a day below the $5 incidentals amount. A breakfast included in your room rate does not count.
My city is not in the list. Which rate applies?
Search for your state and pick "everywhere else." The standard rate covers every county without its own GSA rate: $113 a night for lodging and $68 for M&IE in FY2027.
Does the cap include taxes and fees?
No. The lodging cap is the room rate before taxes. Fees the hotel charges, such as resort fees, count toward it under most policies, which is how Engine's hotel price figures treat them.
Where do the hotel figures come from?
From nightly hotel prices Engine showed in searches for that city and check-in month, October 2025 to September 2026, compared with the FY2027 cap. They cover 63 U.S. cities. See the per diem rates lookup for the full study.
Can I use this for Alaska, Hawaii or a trip abroad?
