The problem
SafeRide Health was seeking a partner who could both help make finding and managing lodging easier for their team, as well as simplify the expense submission process in place with their healthcare plan partners.
Brianna N., Alternative Transportation Supervisor at SafeRide Health, is responsible for booking the travel and lodging for its members. Upon starting her position, Brianna was tasked with creating systems and processes that would help make SafeRide’s lodging service a success.
Having been introduced to Engine through a previous employer and seeing its value first-hand, Brianna worked quickly to get it implemented at SafeRide.
Before implementing Engine, Brianna was using online travel agencies to book rooms. Reservations were not in a central platform, and disjointed reporting was an issue. “I once stayed up until 4am trying to track down folios so I could finalize reports, it was not sustainable.”
Authorizations were another pain point. “Instead of having to submit credit card authorization forms and fax information to individual hotels, Engine allows you just to put in their information, hit pay and you’re done.” Submitting expenses to healthcare plan partners was also a time-consuming and tedious task before Engine.

With all lodging reservations on a single platform, SafeRide's team can easily find reservations and export reports. The platform's customizable fields allow for including unique member IDs on invoices, which helps distinguish between members with duplicate names and saves time on reconciliation. A task that once took 12 hours can now be completed in just one hour.
Engine also simplifies reimbursement by making it easier for the team to create and send reports to various health plans. It provides access to a large network of hotels and advanced filtering tools, allowing SafeRide to book convenient and safe stays for its members. The Direct Bill program offers peace of mind by enabling pre-payment for rooms, eliminating the need for faxed credit card forms and ensuring payments are properly received.
