The problem
On Point manages 150+ crew members and project managers traveling across the country, which creates a heavy administrative burden. Travel needs are often last minute and constantly shifting, since installations can move faster or slower than anticipated, forcing trips to be shortened or extended on the fly.
Many of On Point's traveling crew members are exclusive contractors, meaning they predominantly work for On Point but aren't on company payroll. Without company cards in the field, and in some cases without reliable personal credit, floating travel costs out of pocket wasn't workable. After-the-fact expense reports meant reconciling budget estimates with actual costs long after the project was underway.
Originally, On Point booked hotels through a third-party rep and directly through hotel websites, relying on faxed credit card authorization forms that were often chaotic. Crews would arrive in the middle of the night to find the form wasn't on file, leaving them to sort it out at the front desk without support. A brief attempt at Airbnb didn't work either — no centralized support, no flexibility for changes.
Travel costs are factored directly into every project bid, so cutting them translates directly into winning more business.
The solution
On Point started using Engine for travel in 2022 and has since spent over $4 million across thousands of bookings, using the platform for all worksite travel for both crews and project managers.
Engine’s FlexPro, which allows changes or cancellations on any booking up until the last minute, no questions asked, has been a gamechanger. On Point uses it to shorten stays when installations wrap ahead of schedule and to cancel bookings entirely when client projects get delayed. If a two-week job finishes in one, On Point wraps up early and saves on the unused nights. If a project falls through, On Point isn't absorbing the travel cost.
Direct Bill and virtual cards transformed how On Point handles payment. Employees and contractors no longer need to float costs on personal cards, and administrators no longer need to fax credit card authorization forms that were unreliable and frequently not on file when crews arrived. Engine sends a virtual card as payment, so crews only need a card for incidentals at check-in.
Centralization and mobile access round out the solution. On Point books hotels, flights, and rental cars in one place, with a central dashboard for overseeing all onsite travel. Engine's mobile app has been a particular asset for a team that's often on the go — the travel administrator can modify reservations from anywhere with cell service, handling crew logistics without being tied to a desk.
